Organizing Forms with Folders
Learn how to organize your forms using folders in FormRobin.
What Are Folders?
Folders help you organize forms by project, client, or category. Each folder contains its own set of forms, keeping your dashboard clean and manageable.
Note: On your Plan page, folders are displayed as "Workspaces" - they're the same thing.
Folder Limits by Plan
- Free Plan - 1 folder
- Individual Plan (LTD) - 3 folders
You can check your current folder usage on the Plan page (Hamburger menu ➔ Plan), where it's shown under "Workspaces."
Creating a Folder
- Go to the Forms page
- In the left sidebar, click Add new folder
- Enter a folder name (e.g., "Client Projects", "Event Forms", "Surveys")
- Click Create Folder
Moving Forms to Folders
- On the Forms page, find the form you want to move
- Click the three-dot menu (⋮) on the form card
- Select Move to folder
- Choose the destination folder
Viewing Folder Contents
Click any folder name in the left sidebar to filter and show only the forms in that folder. Click All Forms to see everything.
Organization Tips
With 1 Folder (Free Plan)
With a single folder, use clear naming conventions for your forms:
- Prefix with category: "Survey - Customer Feedback"
- Prefix with client: "Acme Corp - Contact Form"
- Use dates for recurring forms: "2025 Q1 - Registration"
With 3 Folders (Individual Plan)
Separate your forms by purpose:
- Folder 1: Active client projects
- Folder 2: Internal/personal forms
- Folder 3: Archive or testing
Or by client:
- Folder 1: Client A forms
- Folder 2: Client B forms
- Folder 3: Personal projects
Need More Folders?
Upgrade to the Individual Plan (lifetime deal) to get 3 folders instead of 1. Go to Hamburger menu ➔ Plan to view upgrade options.
FAQ
Q: Why does my Plan page say "Workspaces" instead of "Folders"?
A: They're the same thing. The Plan page uses "Workspaces" as the term, but throughout the app you'll see "Folders."
Q: Can I rename a folder?
A: Yes. Click on the folder, then look for the edit option to rename it.
Q: Can I delete a folder?
A: Yes, but you'll need to move or delete the forms inside it first.
Q: What happens to forms if I downgrade and lose folder capacity?
A: Contact support before downgrading to understand your options.
