Deleting and Restoring Forms

Learn how to safely delete forms you no longer need and understand data retention.

What Happens When You Delete a Form?

When you delete a form in FormRobin, the form is removed from your forms list and can no longer receive new submissions. The form URL becomes inactive immediately.

How to Delete a Form

  1. Go to Forms from the dashboard
  2. Find the form you want to delete
  3. Click the ... (three dots) menu for that form
  4. Select Delete
  5. Confirm deletion when prompted
  6. Form is immediately removed from your forms list

⚠️ Important: Always download your form responses before deleting if you need to keep the data.

What Gets Deleted?

  • Form structure - all fields and settings removed
  • Form URL - public link becomes inactive
  • Access - form no longer appears in your dashboard
  • Submissions - new submissions cannot be received
  • Integrations - connections to SendFox and other services stop

Data Retention and Responses

  • Existing responses may be retained in the system temporarily
  • Soft delete - forms are marked as deleted but data may remain for recovery purposes
  • Permanent deletion - data is eventually purged according to retention policies
  • Backup before deletion - always export responses you need to keep

💡 Best Practice: Export all form responses to CSV before deleting important forms.

Who Can Delete Forms?

  • Form owner - user who created the form
  • Workspace admin - users with admin permissions
  • Folder collaborators - may need write/delete permissions

Cannot Delete a Form?

Possible reasons:

  • You don't have delete permissions
  • Form is owned by another user
  • Workspace restrictions prevent deletion
  • Form is locked by an administrator

Solution: Contact the form owner or workspace administrator for assistance.

Restoring Deleted Forms

FormRobin uses soft deletion, which means deleted forms may be recoverable for a limited time period.

To request restoration:

  1. Contact FormRobin support immediately
  2. Provide the form name and approximate deletion date
  3. Explain why restoration is needed
  4. Support will verify if recovery is possible

⚠️ Important: Restoration is not guaranteed and may not be available after the retention period expires. Always backup important data before deletion.

Alternatives to Deletion

If you're unsure about deleting a form, consider these options:

  • Unpublish - Keep form but make it inactive (URL still works for testing)
  • Archive folder - Move form to an "Archive" folder to keep it organized
  • Disable notifications - Stop email alerts without deleting
  • Export data - Download responses and keep form for historical reference
  • Duplicate first - Create backup copy before making changes

Bulk Deletion

Currently, FormRobin does not support bulk deletion of multiple forms at once. You must delete forms individually.

Workaround: Move multiple forms to a temporary folder first, then delete them one by one for better organization.

Troubleshooting

Issue: Accidentally deleted wrong form
Fix: Contact support immediately to request restoration. Provide form name and deletion time.

Issue: Delete option not showing
Fix: Check you have delete permissions. Try refreshing the page or contact form owner.

Issue: Form URL still works after deletion
Fix: May take a few minutes to propagate. Clear browser cache and wait 5-10 minutes.

FAQ

Q: Can I undo a deletion?
A: Contact support immediately. Recovery may be possible if done quickly, but is not guaranteed.

Q: What happens to form responses when I delete?
A: Responses may be retained temporarily but will eventually be purged. Export data before deleting.

Q: Is there a recycle bin or trash folder?
A: Not in the UI currently. Deleted forms may be recoverable by contacting support.

Q: How long before deletion is permanent?
A: Retention period varies. Contact support as soon as possible if you need recovery.
