Publishing and Sharing Your Form
Make your FormRobin forms live and accessible to your audience. Learn how to publish forms, generate share links, and embed forms on your website.
Prerequisites
- Account: Logged into FormRobin
- Form: Created and configured a form
- Fields: Added at least one field to your form
Publishing Your Form
Forms start in draft mode and must be published before they can accept responses.
How to Publish
- Go to your Dashboard or Forms page
- Find the form you want to publish
- Toggle the Publish switch to ON (it will turn blue/green when active)
- Your form is now live and ready to receive submissions
What happens when you publish:
- A unique public URL is generated for your form
- The form becomes accessible to anyone with the link
- Form submissions are accepted and saved
- Email notifications start working (if enabled)
Unpublishing a Form
To temporarily stop accepting responses:
- Toggle the Publish switch to OFF
- The form will no longer be accessible via its public URL
- Existing submissions remain saved and accessible in your dashboard
- You can republish anytime by toggling the switch back ON
Sharing Your Form
Share Link Method
Every published form has a unique URL:
- Publish your form using the toggle switch
- Click on the form to view its details
- Find the public URL (format:
https://formrobin.com/f/your-form-slug
) - Copy and share this link via email, social media, or messaging apps
Best for: Email campaigns, social media posts, QR codes, direct messaging
Embed on Your Website
Embed forms directly on your website using an iframe:
- Publish your form
- Go to the form details or settings page
- Find the Embed Code section
- Copy the provided iframe code (looks like:
<iframe src="https://formrobin.com/f/your-form-slug"></iframe>
) - Paste the code into your website's HTML where you want the form to appear
Best for: Website contact pages, landing pages, blog posts
Domain Whitelisting for Embedding
To embed forms on your website, you need to add your domain to the whitelist:
Adding a Domain
- Go to Settings → Domains
- Enter your website domain (e.g.,
example.com
orwww.example.com
) - Click Add Domain
- Your forms can now be embedded on that domain
Domain Limits:
- Free Plan: 1 whitelisted domain
- Individual Plan: 10 whitelisted domains
Removing a Domain
- Go to Settings → Domains
- Find the domain you want to remove
- Click Remove or the delete icon
- Confirm the removal
What Happens After Publishing
- Form is accessible at its unique public URL
- Submissions are tracked and visible in your dashboard
- Email notifications are sent for each submission (if enabled)
- Source tracking data is captured (Individual plan only)
- Custom redirects work after submission (Individual plan only)
- Forms can be embedded on whitelisted domains
Limitations
- Domain Whitelist: Free plan allows 1 domain, Individual plan allows 10 domains
- Unpublished Forms: Cannot accept submissions or be accessed publicly
- Custom Domains: Forms use FormRobin.com URLs (custom domains not supported)
- Embed Restrictions: Forms will not load on non-whitelisted domains
Troubleshooting
Issue: Form not loading on my website
Fix: Make sure you've added your website domain to the whitelist in Settings → Domains. The domain must match exactly (including www if applicable).
Issue: "Maximum number of domains reached"
Fix: Free plans are limited to 1 whitelisted domain. Remove an existing domain or upgrade to Individual plan for 10 domains.
Issue: Public URL not working
Fix: Ensure the form is published (toggle switch is ON). Unpublished forms cannot be accessed via public URL.
Issue: Embed code not displaying form
Fix: Check that: (1) Form is published, (2) Domain is whitelisted, (3) Iframe code is pasted correctly without modifications.
FAQ
Q: Can I unpublish a form and republish it later?
A: Yes, use the publish toggle to turn forms on and off anytime. Existing submissions are preserved.
Q: Does the form URL change if I unpublish and republish?
A: No, the URL remains the same. You can safely unpublish and republish without breaking existing links.
Q: Can I embed the same form on multiple pages?
A: Yes, you can embed the same form on as many pages as you want, as long as they're on whitelisted domains.
Q: How do I add www and non-www versions of my domain?
A: Add both versions separately: example.com
and www.example.com
. Each counts as one domain toward your limit.
