The Signing Experience - Recipient Guide

Understand what recipients experience when signing BreezeDoc documents. This guide covers the signing workflow, field completion, signature options, and common recipient questions from the signer's perspective.

Prerequisites

  • Email: Recipient must have received a document email from BreezeDoc
  • Device: Any device with internet and modern browser (desktop, tablet, mobile)
  • Email Access: Access to the email address where document was sent

Receiving a Document

Recipients receive an email with:

  • Subject Line: "[Sender Name] sent you a document to sign: [Document Name]"
  • Sender Information: Name and email of the person who sent the document
  • Document Name: Clear title identifying the document
  • Personal Message: Optional custom message from the sender
  • Review and Sign Button: Primary action button to open the document
  • BreezeDoc Branding: Footer with BreezeDoc information

Opening the Document

  1. Open the email from BreezeDoc.
  2. Click the Review and Sign button.
  3. Your browser opens the signing interface.
  4. If passcode-protected, enter the passcode provided by the sender.
  5. The document loads with your assigned fields highlighted.

Passcode-Protected Documents

If the document requires a passcode:

  1. Click Review and Sign in the email.
  2. You see a passcode entry screen.
  3. Enter the passcode (provided separately by the sender).
  4. Click Unlock Document.
  5. If correct, the document opens for signing.
  6. If incorrect, try again or contact the sender.

Understanding the Signing Interface

When you open a document, you will see:

  • Document Pages: Full PDF displayed page by page
  • Your Fields: Highlighted fields assigned to you (colored boxes)
  • Progress Bar: Shows how many fields remain incomplete
  • Field Navigation: Buttons to jump to next field
  • Submit Button: Appears after all required fields are complete

Field Color Coding

  • Your Color: Fields assigned to you (e.g., blue)
  • Other Colors: Fields assigned to other recipients (grayed out or different color)
  • Complete Fields: Turn green or show checkmark after completion
  • Incomplete Required Fields: Highlighted in red or yellow if skipped

Completing Fields

Signature Field

When you click a signature field, you have three signing options:

Option 1: Draw Your Signature

  1. Select the Draw tab.
  2. Use your mouse (desktop) or finger (touchscreen) to draw your signature.
  3. Click Clear to restart if needed.
  4. Click Apply to insert your signature.

Option 2: Type Your Signature

  1. Select the Type tab.
  2. Type your full name.
  3. Choose a signature font style.
  4. Preview the generated signature.
  5. Click Apply to insert.

Option 3: Upload Signature Image

  1. Select the Upload tab.
  2. Click Choose File.
  3. Select an image of your signature (PNG, JPG).
  4. Crop or adjust if needed.
  5. Click Apply to insert.

Important: Once you sign using any of these methods, BreezeDoc automatically fills all other signature fields assigned to you in the document. You only need to sign once, and your signature will appear in every signature field throughout the document.

Text Field

  1. Click the text field.
  2. A text input box appears.
  3. Type your information (name, address, phone, etc.).
  4. Press Enter to confirm and move to the next field, or click outside the field.
  5. The field updates with your text.

Tip: Use Shift+Enter to add a new line within the text field instead of moving to the next field.

Date Field

  1. Click the date field.
  2. A date picker (calendar) appears.
  3. Select the date by clicking on the calendar.
  4. Alternatively, type the date in the format shown (e.g., MM/DD/YYYY).
  5. Some date fields auto-fill with the current date when you sign.

Checkbox Field

  1. Click the checkbox.
  2. A checkmark appears.
  3. Click again to uncheck (if not required).
  4. Required checkboxes must be checked before submission.
  5. Press Enter to move to the next field after checking.

Initials Field

  1. Click the initials field.
  2. Type your initials (first and last name initials).
  3. Choose a font style if multiple options are provided.
  4. Click Apply or press Enter to confirm.

Note: Like signature fields, once you provide your initials, they automatically appear in all other initials fields assigned to you in the document.

  1. Click the dropdown field.
  2. A list of options appears.
  3. Select one option by clicking on it.
  4. The field updates with your selection.
  5. Press Enter to move to the next field.
  6. You cannot type custom values in dropdown fields.

Complete fields efficiently using multiple navigation methods:

Keyboard Navigation

  • Enter Key: Press Enter to complete the current field and automatically move to the next field
  • Shift+Enter: In text fields, press Shift+Enter to add a new line instead of advancing
  • Finalize: When on the last field, pressing Enter takes you to the Finalize button

Mouse Navigation

  • Next Field Button: Click Next to jump to the next incomplete field
  • Manual Click: Click directly on any field to complete it
  • Scroll: Scroll through pages to find your fields (highlighted in your color)
  • Progress Indicator: Check progress bar to see how many fields remain

Submitting the Document

  1. Complete all required fields assigned to you.
  2. Review your entries (scroll through pages).
  3. Click Submit or Finish button.
  4. You see a confirmation screen: "Document Signed Successfully"
  5. You receive a copy of the completed document via email (if configured).
  6. If redirect URL is set, you are automatically redirected to the sender's website.

Cannot Submit? Check These

  • All required fields are completed (no red or yellow highlights)
  • All required checkboxes are checked
  • All signature fields have signatures
  • No error messages appear at the top of the page

Sequential Signing (Multiple Signers)

For documents with multiple signers in a specific order:

If You Are the First Signer

  1. You receive the email immediately after sender sends the document.
  2. Complete and submit your fields.
  3. The next recipient receives their email automatically.

If You Are a Later Signer

  1. You receive the email only after previous signers complete their parts.
  2. If you try to access the document early, you see: "Waiting for [Previous Signer Name] to sign."
  3. Wait for your notification email before signing.
  4. Once it's your turn, complete and submit your fields.

Signing on Mobile Devices

BreezeDoc works on all devices:

  • Smartphones: iOS (Safari) and Android (Chrome) fully supported
  • Tablets: iPad and Android tablets work perfectly
  • Touch Signatures: Draw signatures with your finger
  • Responsive Design: Interface adapts to screen size
  • Zoom: Pinch to zoom for reading small text

Mobile Signing Tips

  • Use landscape mode for better signature space
  • Zoom in on fields for precise placement
  • Use a stylus for cleaner signatures (optional)
  • Ensure stable internet connection before starting

After Signing the Document

Once you submit:

  • Confirmation Screen: You see "Document Signed Successfully" message
  • Email Confirmation: You may receive an email confirmation (sender's choice)
  • Completed PDF: You may receive the completed PDF via email (sender's choice)
  • Redirect: You may be redirected to the sender's website (Pro+ feature)
  • Notification to Sender: Sender receives notification of your completion

Common Recipient Questions

Lost the Email Link?

Contact the sender and ask them to resend the document. They can send a reminder from their BreezeDoc account, which will resend the email to you.

Made a Mistake After Signing?

Contact the sender immediately. Once submitted, you cannot edit your entries. The sender may need to create a new document for you to sign.

Document Expired?

If the document has an expiration date that has passed, you will see "This document has expired." Contact the sender to request an extension or new document.

Forgot the Passcode?

Contact the sender to get the passcode again. Passcodes are not recoverable from the BreezeDoc system.

Troubleshooting

Issue: Cannot open document link

Fix: Ensure you are clicking the link from the original email (not a forwarded email). Try opening in a different browser. Check that JavaScript is enabled in your browser.

Issue: Fields not appearing or clickable

Fix: Refresh the page. Clear browser cache and cookies. Try a different browser (Chrome, Firefox, Safari, Edge).

Issue: Signature won't save

Fix: Ensure you clicked Apply after drawing/typing your signature. Try a different signature method (draw vs type). Use a supported browser.

Issue: Submit button is grayed out

Fix: Complete all required fields (look for red or yellow highlights). Scroll through all pages to ensure no fields are missed. Check for error messages at the top of the page.

FAQ

Q: Is my signature legally binding?

A: Yes, electronic signatures on BreezeDoc are legally binding in most jurisdictions under laws like ESIGN (US) and eIDAS (EU).

Q: Can I sign without creating a BreezeDoc account?

A: Yes, recipients do not need a BreezeDoc account to sign documents. You only need the email link.

Q: How long do I have to sign the document?

A: Unless the sender set an expiration date, the link remains valid indefinitely. Check the email for any deadline information.

Q: Can I download a copy before signing?

A: Typically, you receive the completed document after signing. To get a copy before signing, contact the sender directly.

Q: Do I need to sign multiple times if there are multiple signature fields?

A: No. Once you sign (using type, draw, or upload), your signature automatically fills all signature fields assigned to you throughout the document. The same applies to initials fields – you only need to initial once.

Q: Can I use keyboard shortcuts to navigate between fields?

A: Yes. Press Enter to move to the next field after completing the current one. In text fields, use Shift+Enter to add new lines. This speeds up the signing process, especially for documents with many fields.
